How to sign a PDF online and get others to sign it (step-by-step)
A simple guide to signing a PDF yourself or sending it to one or more people for signature, with identity checks and a sealed copy for everyone.

What you need
Just the PDF and the email address of everyone who needs to sign. Signers do not need an account, an app or a printer. Free plans are enough to try it on real documents.
Step 1: Upload your PDF
Create a new agreement and upload the PDF. Give it a clear title, such as “Service Agreement – Acme Pvt Ltd”, because signers see it in their email and on the certificate.
Step 2: Add the people who sign
Add each person’s name and email. Choose whether everyone signs at the same time or one after another; for example, your client first and then your director. You can also add yourself.
For important documents, keep verification on “code sent to email” or use an SMS code, so each signer proves they control that inbox or phone before the document opens.
Step 3: Place the fields (or let the tool do it)
Fields tell each person where to sign and what to fill in: signature, initials, full name, date, company, designation or any text. In PDF Sign, “Place fields automatically” reads your PDF, finds lines labelled “Signature”, “Name” and “Date”, and places a block for each signer. Check the result and drag anything that needs adjusting.
If your document has no signature lines, drag a “Signature block” to the end of the document for each person. Add “Initials on every page” for longer contracts.
Step 4: Send and track
Press Send. Each signer receives a personal link. You can see who has opened and signed, send reminders, and correct and resend if something was wrong. Automatic reminders go out on the schedule you choose.
Step 5: Everyone gets the sealed PDF
When the last person signs, the final PDF is digitally sealed and timestamped, and everyone receives it along with a certificate of completion. You can also download a complete evidence package with the original document and the audit trail.
Tips for a smooth signing
- Use the person’s work email; it doubles as their identity check.
- Keep the title and email message short and specific.
- For multiple parties, set the order so the person who must approve signs first.
- Add a reminder every two or three days and an expiry date for time-bound offers.
